Do you need a VoIP billing platform?
If you resell telecom minutes, at some point spreadsheets stop working. This guide explains when you actually need a dedicated VoIP billing platform, and what the core concepts mean.
What a billing platform does that a PBX doesn't
A PBX or softswitch like Asterisk switches calls — it connects A to B. It does not, by itself, work out that a three-minute call to Germany cost you 4 cents, should be billed to the customer at 9 cents, and needs to be deducted from their prepaid balance in real time. That commercial layer is what a billing and rating engine like MagnusBilling adds.
The concepts that matter
Rating is calculating the cost of a call from its destination, duration, and your rate card. Get the inputs wrong and every single call is mispriced.
Rate cards are tables of per-destination prices. You typically have at least two: what your upstream provider charges you, and what you charge your customers. The margin between them is your business.
Billing increments define how call time is rounded. A "60/60" increment bills a full minute even for a 10-second call; "1/1" bills per second. This sounds like a detail, but on high call volumes the difference between increments is real money — and a mismatch between what you're charged and what you charge quietly erodes margin.
Prepaid vs postpaid. Prepaid customers must have a balance before they can call, and the system enforces it in real time so they can't overspend. Postpaid customers are invoiced after the fact against a credit limit. Most resellers use a mix.
Signs you've outgrown spreadsheets
- You are reconciling call detail records by hand at month-end.
- Customers have overspent their intended limit before you noticed.
- You suspect you are losing margin to billing increments but can't prove it.
- Adding a customer or changing a rate is an error-prone manual process.
If two or more of these sound familiar, a dedicated platform will pay for itself.
Where it fits
MagnusBilling runs alongside Asterisk. In a typical reseller setup, Asterisk handles the call switching and MagnusBilling handles rating, balances, trunk management, and invoicing on top. If you run multi-tenant PBX for customers, FusionPBX is often in the mix too.
A compliance note
Reselling telecom minutes can require regulatory registration depending on your country. A billing platform helps you run the commercial side cleanly, but it does not make you compliant — that is a question for a telecom lawyer in your jurisdiction, and the responsibility remains yours.
Getting it right the first time
Billing is unforgiving: a wrong increment or timezone silently loses money on every call. We set MagnusBilling up so your rating, balances, and invoices reflect exactly the commercial terms you intend, and we validate a sample of calls against expected charges before go-live.
